    Jessica cancels her 2:30 PM color appointment

    You mark it cancelled in NoShow Rescue, or it arrives from your CSV import. A recovery opportunity opens immediately and $165 is recorded as revenue at risk.

  2. 2:04 PM

    The waitlist is ranked

    Six customers match the service, the day, the time and the notice they need. Each one is scored out of 100 with the reasons shown, so you can see why they are on the list.

  3. 2:05 PM

    Three offers go out, best match first

    Only the top matches are contacted. The message names the service, the date and the time, so the customer can answer with one word.

  4. 2:06 PM

    Maya accepts and the slot is refilled

    The remaining offers stop instantly. A confirmed replacement appointment is created for 2:30 PM and the original is marked refilled.

  5. 2:06 PM

    $165 is recorded as recovered

    The ledger writes one recovered entry keyed to that appointment. Your dashboard, analytics and recovery rate all update from the same source.

Why a customer is at the top of the list

Nothing about the ranking is random. Every candidate is scored on the same seven factors, and the same slot always produces the same order.

Before scoring, anyone who cannot take the slot is removed outright: not enough notice, outside their date window, above their maximum value, wrong service, or the person who just cancelled.
